OPTION A – SEARCH & REQUEST

  1. Sign-in to COLOMBO with the barcode number from your Bishop’s ID card and password
  2. Click on the Standard or Advanced option under “Search” and perform a search (more info under SEARCHING COLOMBO below)
  3. Browse the list of Search Results
  4. Click on the “Get it!” option for the item you want to request
  5. Complete any of the fields with additional information, if useful (please note – for journal articles, you must provide information regarding the author(s), article title, volume, issue and page numbers in the “Part Details” section)
  6. Enter a need by date if relevant using the calendar provided
  7. Add special instructions
  8. Click on the “Submit” button
  9. Click on Search Results in the left-hand menu to return to your search results, or onĀ Standard orĀ Advanced to start another search.
  10. Click the ” Sign Out” button when you are finished using COLOMBO

OPTION B – CREATE REQUEST MANUALLY

  1. Sign-in to COLOMBO with the barcode number from your Bishop’s ID card and password
  2. Click on the “Create Request” option under “My Account”
  3. Select an “Item Type” (book, journal or other)
  4. Select a “Service” (Loan for books, music scores, theses or films; Copy for articles)
  5. Complete the form by providing as much information as possible regarding the item you want to request
  6. Enter a need by date if relevant using the calendar provided
  7. Add special instructions
  8. Click on the “Submit” button
  9. Click the ” Sign Out” button when you are finished using COLOMBO.

Advanced Search

Once you are signed in, you can select the Advanced Search option, which allows you to search in specific fields of a record such as title, author, subject, etc.

  1. Select the appropriate field (title, author, subject, etc.) from the drop-down menu
  2. Enter search terms in the appropriate search box
  3. Quebec universities appear as the default Current Profile (others can be selected)
  4. Click on the “Go” button

Note – To request an article, search for the title of the journal.

Standard Search

  1. Once you are signed in, the Standard Search screen is displayed along with a list of Quebec universities.
  2. Quebec universities appear as the default Current Profile (others can be selected)
  3. Enter search terms in the search box
  4. Click on the “Go” button

Search Results

Once a search has been performed, a few options are available from the Search Results page:

  1. Save – add the result to your “Saved List” to print or email. Records are cleared from “Saved List” when you log out.
  2. Details – view detailed information about the result
  3. Get it! – request the result (more info under “REQUESTING A BOOK OR AN ARTICLE” above)
  4. Sort options – sort results for easier viewing
  5. Merge duplicates – combine duplicate records for easier viewing
Tips for Searching

Tips for Searching

  • Prefer the Advanced Search option
  • Searching is not case sensitive, upper or lower case.
  • Do not use diacritics, e.g. accents, cedilla, tilde etc: etat, etre, lecon, noel, ano.
  • To search for a title or a complete phrase, type it in quotation marks: “end of poverty”.
  • To search for an author, use “surname firstname” : “Atwood Margaret”.
  • Words entered without quotation marks in a same field are searched individually and combined afterwards. Do not use function words, e.g. the, of, for, unless enclosed in quotation marks.
  • Avoid search terms that are too general or too common, or combine them with others: education university Quebec.
  • Normally right hand truncation of search terms will occur: global will also retrieve globalization.
  • Do not use the web browser’s ” BACK” or ” FORWARD” button as this will risk transmission of incorrect information. Use the buttons provided on the screen, such as Search Results to return to a list .
  • Click on ” Sign Out” button to exit.

Search Profiles

Search Profiles are groups of collections, databases or catalogues, that may be searched simultaneously.

  • Shared profiles are available to all users.
  • You may select or deselect one or more searchable collections of the Current Profile with each search.
  • You may also create, edit and save your own profiles by selecting your favorite collections. Search Profiles you create are associated with your login ID. To create a profile, click on Search Profiles in the left-hand menu. Click on Create, give your profile a name and select the collections you want to search when you use this profile. Click on Submit to save your profile.

Saved Results vs Saved Searches

  • Click on Save in a Search Results list to select the records you want to print or email. To view click on Saved List in the left-hand menu. Records are automatically cleared from your Saved List when you log out.
  • You may save a search strategy, along with the list of searched collections, to re-run or modify it later: Click on Save Search at the top of the Search Results screen. Saved searches will be available to you every time you log in to the Saved Searches option in the left-hand menu.

E-mail notifications

The Interlibrary Loans Office will send you e-mail notifications when:

  • Your request has been cancelled because the item is available at Bishop’s Library
  • Additional information is required to process your request
  • The item has arrived and is available for pick up at the library or has been delivered to you electronically

Tracking your requests on COLOMBO

  1. Click on the “My Requests” option under “My Account”
  2. Click on the “Go” button
  3. Your current requests will be displayed
  4. If a journal article you requested no longer appears on the list, check your email for notification that it has been delivered electronically(email will contain link and password)
  5. The Status field informs you about the progress of your request
    • Idle – your request has been received by the Bishop’s ILL staff and will be processed soon
    • Pending – your request has been sent to a potential lending library
    • Shipped – your requested item has been shipped from a lending library
    • Not Supplied – Bishop’s ILL staff are seeking other potential lenders
    • Conditional – a lending library will supply the item as soon as some condition is met
    • Cancel Pending/Cancelled – your request is in the process of/or has been cancelled
    • Received – your requested item has arrived and is ready for pickup. Check your email for details
    • Recall – the item has been recalled by the lending library
    • Returned – your requested item has been sent back to the lending library
