Reserving the Old Library

General Information

Events most suited to be held in the Old Library are:

- lectures
- workshops
- seminars
- small receptions (not involving food)
- book launchings

  • Events eligible to be held in the Old Library are to be related to the University in some way; no outside parties may reserve the room. These events can only be held outside the regular opening hours of the Old Library, ie. after 4:30 or on the weekend.
  • The Old Library can comfortably seat 30 people (in-house available chairs). Extra chairs can be ordered from the Buildings and Grounds Department 48 hours before the event.
  • All tables and chairs may be easily moved within the room to suit the needs of the event.
  • It is advisable that standing only events such as receptions should be limited to 50 people.                           
  • Please consult the archivist 48 hours prior to the event if re-arrangement of tables and chairs is required. 
  • As much as possible, please restore the original order of the room immediately following the event.
  • Arrange to have any special items brought in for the event, (ie. screens, projectors, etc.) removed as soon as possible the following day.

Reserving the Old Library

1.   Arrangements to book the Old Library for a university-related event are made directly with the archivist, detailing the

a) nature of the event
b) date of the event
c) hours of reservation
d) approximate attendance
e) name of the person responsible for the reservation (key pick-up)

 This can be done by

2.   The person reserving the Old Library may sign out the key to the Old Library door at the Old Library on the day of the event. The key holder is responsible for the Old Library and its contents for the duration of the event. This key is to be returned on the following working day.

N.B. Before You Leave.......

Due to the valuable nature of the contents of the Old Library, we ask that you remember to:  

  • never  leave the Library unsupervised while unlocked   
  • make sure the room is vacated after the event   
  • turn off the lights   
  • LOCK THE DOOR
